The subject line's only job is to get the email opened by the right person. It is not the pitch. Most cold email subject lines fail because they try to sell in six words.

The principles

Short. Three to five words. It will be read on a phone, where anything longer gets cut off anyway.

Lowercase or sentence case. Title Case Looks Like Marketing. lowercase looks like a person typed it.

Specific beats clever. Curiosity gaps ("you will not believe this") feel like clickbait and get punished. A specific, plain subject that names a real thing outperforms a clever one almost every time.

No promises, no hype. "Free," "guarantee," "urgent," "limited time," exclamation marks: all of these score against you in spam filtering and signal a sales email to the human.

Match the body. A subject that oversells relative to the email underneath produces an open and then a delete, which teaches providers your mail is not worth delivering.

Structures that work

  • Their company name. Just the name, or the name plus one word. Specific, personal, impossible to mistake for a blast.

  • The question. A short, genuine question about their operation. Questions invite answers.

  • The referral shape. "quick question" or "right person?" Plain, low stakes, extremely high open rates because they read like internal mail.

  • The observation. Name the specific thing you noticed. "your careers page" is a better subject than "helping you hire faster."

  • The result. A concrete number, no adjectives. Numbers are credible in a way that claims are not.

  • The one word. "thoughts?" or "timing?" Works precisely because it looks like a colleague wrote it.

What to avoid

  • Anything with "Re:" or "Fwd:" that is not genuinely a reply. It is a trick, people recognize it, and it converts an open into resentment.

  • Emojis. In B2B cold email they read as marketing.

  • ALL CAPS or excessive punctuation.

  • The recipient's first name in the subject. It was novel a decade ago. Now it reads as mail merge.

  • Anything that could be the subject of a newsletter.

The test: would a colleague plausibly send you this subject line? If yes, use it. If it sounds like a campaign, rewrite it. Need a starting point, our free AI copywriter drafts subject lines and full emails in this style. And remember that the best subject line in the world cannot save an email that lands in spam. Placement comes first, copy second.
